Set Up ChatGPT as Your Leasing Communication Hub

1. Go to {{tool:ChatGPT.url}} and click Sign up if you don't have an account
2. Complete registration with your email address
3. If upgrading to {{tool:ChatGPT.plan}}: click your profile icon → Upgrade plan → select {{tool:ChatGPT.plan}}
4. Once logged in, you'll see the chat interface with a large text box at the bottom

What you should see: A clean chat interface with "ChatGPT" at the top and a message box that says "Message ChatGPT" Troubleshooting: If the site won't load, try a different browser or clear your cache

This is the key step: you're giving ChatGPT a "briefing" about your community so it writes in context.

1. Click New chat (the pencil icon or "+" button)
2. In the message box, type your community briefing. Here's a template to fill in with your actual details:

You are an expert leasing consultant at [Community Name], a [class] apartment community in [City, State].

Community details:
- Address: [full address]
- Unit types: [e.g., Studios from $X, 1BR from $Y, 2BR from $Z]
- Key amenities: [list 5-8 — pool, gym, rooftop, dog park, etc.]
- Pet policy: [e.g., allowed up to 50 lbs, $400 deposit, $30/month pet rent]
- Parking: [included / $X/month covered / $X surface]
- Application fee: $[amount]; Admin fee: $[amount]

When I ask you to draft emails, letters, or responses, always write as a leasing consultant from this property. Use the community name naturally. Never make up facts beyond what I've provided.

1. Press Enter. ChatGPT will confirm it understands the briefing
2. Important: This briefing only lasts for the current chat session. Each time you start a new chat, you'll need to paste it again, or use the workaround in Step 4 below

What you should see: ChatGPT responding with something like "Got it! I'm ready to help as a leasing consultant at [Community Name]. What would you like to draft first?"

1. In the same chat session, type a task:

   • "Draft a follow-up email to Michael, who toured a 1BR on March 20 and mentioned he loved the gym. He hasn't responded to my first follow-up. Create mild urgency (we have another inquiry on that unit)."
2. Review the output. It should reference your community name, match your tone, and not include any invented details
3. Copy the email, make any final tweaks, and send it

What you should see: A complete, on-brand email ready to copy and send Troubleshooting: If the email sounds too generic, add more specific details to your request ("he's moving from downtown, budget is around $1,800/month")

Since ChatGPT doesn't remember between sessions, save your community briefing for quick reuse:

1. Open the Notes app on your phone or a Google Doc on your computer
2. Paste your complete community briefing text there
3. Title it: "ChatGPT Leasing Prompt: [Community Name]"
4. Next time you need ChatGPT: start a new chat → paste your briefing → immediately start your task

Create a second document with ready-to-use task prompts. For each common task, write a short request that builds on your community briefing:

1. Follow-up email: "Draft a follow-up email for [name] who toured a [unit type] on [date] and [detail]. Make it [warm/urgent/value-add]."
2. Renewal letter: "Write a renewal letter for [name] in unit [#]. Lease ends [date]. New rate is $[amount]. They've been here [X] years. [Personal detail]."
3. Review response: "Write a professional response to this [X]-star review: [paste review]. Be empathetic and invite them to contact us directly."
4. ILS description: "Write a 150-word listing description for our [unit type] with [amenities]. Tone: [tone]."
5. Denial letter: "Write a professional denial letter for an applicant declined due to [reason]. Tone: respectful, definitive, no details that invite argument."
