Use Gemini in Gmail to Triage and Draft Leasing Emails Faster
What This Does
Gemini's AI is built into Gmail and can summarize long email threads, suggest replies, and draft new emails from a short description, all without leaving your inbox. For leasing consultants drowning in prospect and resident emails, this cuts inbox time by 40–60%.
Before You Start
- You use Gmail for your work email (personal or property management Gmail account)
- You're logged into Gmail in a browser (Chrome recommended)
- Gemini in Gmail is available on free Google accounts; some features require Google One or Workspace
Steps
1. Find the AI feature
- Open Gmail at mail.google.com
- Open any email thread (ideally a long one with a prospect or resident)
- Look for the Gemini star icon (a four-pointed sparkle) in the top-right corner of the email thread
- Click it. A panel will slide open on the right showing "Summarize this email" and a text field
2. Summarize a long prospect thread
- With the email thread open, click the Gemini panel icon
- Click Summarize this email. Gemini reads the entire thread and gives you a 3–4 sentence summary
- You'll see: what was asked, what was promised, and what's still unresolved
- Use this to get up to speed before a call or before writing a reply. No need to re-read 12 messages
3. Draft a reply using AI
- Click Reply on the email as normal
- In the reply compose window, look for Help me write (a pencil with a sparkle icon) at the bottom of the compose box
- Click it. A text field appears asking what you want to say
- Type a short description: "Reply to this prospect's questions about parking and pet policy. Our parking is $75/month. We allow pets up to 50 lbs with a $500 deposit. Invite them to tour this week."
- Click Generate. Gemini writes the full reply
- Review, edit, and click Send
Real Example
Scenario: A prospect named Dana emailed 4 days ago with 6 questions about availability, move-in costs, and parking. The thread has gotten long and you've lost track of what you've answered.
What you do: Open the thread, click the Gemini panel, click "Summarize this email." Gemini tells you: "Dana asked about 1BR availability, application fee, parking costs, pet policy, move-in timeline, and whether you accept section 8. You answered availability and application fee. Parking, pets, timeline, and section 8 are still unanswered."
What you get: A clear to-do for your reply, then one click to draft it.
Tips
- Use Gemini's "Help me write" for initial outreach emails too: just describe the prospect (unit interest, source) and what action you want them to take
- If you manage a high-volume inbox (50+ leasing emails/day), try asking Gemini: "Which of my unread emails need a response today?" using the Gemini panel on the Gmail homepage
- Smart Compose (the inline text suggestions) works automatically as you type. Press Tab to accept suggestions for faster email drafting without opening the full AI panel
Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
