What you'll accomplish
A complete 3-email follow-up sequence (Day 1, Day 3, Day 7) for each of your most common prospect types, ready to customize with names and send. Inconsistent, forgotten follow-ups become a reliable system that converts more inquiries into tours.
What you'll need
Before writing anything, decide which prospect types you want sequences for. Common categories:
Pick 1–2 to start.
You're helping me write email sequences for leasing prospects at [Community Name]
in [City]. Key details: [unit types and pricing], [key amenities], [current special
if any], [pet policy briefly]. Communication tone: [warm/professional/approachable].
Write a 3-email follow-up sequence for a prospect who submitted an online
inquiry about a 1BR apartment but hasn't responded to our first message.
Email 1 (Day 1 after inquiry): Friendly introduction, confirm we received their
inquiry, highlight one compelling amenity, invite them to schedule a tour.
Subject line included. Under 100 words.
Email 2 (Day 3 if no response): A different angle — lead with our current
special or a benefit they haven't heard yet. Casual, not pushy.
Subject line included. Under 80 words.
Email 3 (Day 7 if still no response): Last touch — acknowledge they may have
found a place, but leave the door open for the future.
Subject line included. Under 60 words.
Use [PROSPECT NAME] as a placeholder throughout.
What you should see: Three distinct, progressively shorter emails that don't repeat the same pitch. Each one takes a different angle to re-engage the prospect
In the same chat, continue:

think about it" but hasn't responded in 3 days.
Email 1 (Day 3 after tour): Follow up on specific things they liked during
the tour. Acknowledge the decision takes time. One gentle call-to-action.
Email 2 (Day 7): Create mild, honest urgency — mention if the unit has had
other showings (use language like "there's been other interest"). Offer to
answer any remaining questions on a quick call.
Email 3 (Day 14): Closing loop email — wish them well wherever they land,
but mention you'll keep them in mind for future availability.
