What This Does
Grammarly's AI checks every email, text, and message you write for grammar, spelling, tone, and clarity, in real time, inside Gmail, your PMS, and every other browser-based tool you use. It's the invisible quality check that makes every communication look polished and professional.
Before You Start
- You have a Chrome, Edge, or Firefox browser (Grammarly works best as a browser extension)
- You can install browser extensions (most workplace computers allow this; check with your manager if unsure)
- A free Grammarly account works for core features
Steps
1. Install the Grammarly browser extension
- Go to grammarly.com and click Get Grammarly — it's free
- Click Add to Chrome (or your browser)
- In the pop-up, click Add extension
- You'll see a small green Grammarly "G" icon in your browser's extension bar. It's now installed
2. Create your free account
- Click the Grammarly icon in your extension bar
- Sign up with your work email or Google account
- On the onboarding screen, select your goals:
- Domain: Business
- Tone: Professional
- Intent: Inform, Engage
3. Watch it work in Gmail
- Open Gmail and start composing an email to a prospect or resident
- As you type, Grammarly automatically underlines errors and suggestions in red (errors) and blue (style improvements)
- Hover over any underlined word to see the suggestion and click to accept
- Look for the Grammarly panel on the right side of the compose window. It shows an overall score and lists all suggestions
- For your most important emails (lease renewal negotiations, complaint responses), click Open in Grammarly Editor for a full detailed review before sending
4. Use the tone detector before sending sensitive emails
- After drafting a sensitive email (decline notice, late fee warning, review response), look for the Tone badge in the Grammarly panel
- It will say something like "Confident," "Concerned," "Informative," or "Assertive"
- If it reads a tone you didn't intend (too aggressive, too casual), click the badge for suggestions on how to soften or strengthen the language
- Adjust and re-check until the tone matches your intent
Real Example
Scenario: You drafted a response to a resident who left a 1-star review complaining about noise and slow maintenance response. You want to sound empathetic but not admit fault.
What Grammarly catches:
- "We sincerely apologize for the inconvenience" → suggests "We understand this has been frustrating" (less formal, more genuine)
- Tone detector reads: "Direct." It suggests adding a phrase to soften it before the policy explanation
- Flags a run-on sentence in the middle that's easy to miss when composing quickly

Tips

- Turn off Grammarly temporarily when filling out form fields in your PMS, as the extension occasionally interferes with auto-fill or dropdown functionality
